Front Office

We are seeking a professional, organised and customer-focused Front Office to become an integral part of our international school community.

As the first point of contact for students, families, staff and visitors, you will play a key role in creating a welcoming environment while ensuring the smooth day-to-day running of the school's administrative operations.

Working closely with the School Director, Senior Leadership Team and colleagues across Admissions, HR, Finance and Academic departments, you will contribute to delivering an outstanding experience for our community.


Key Responsibilities

  • Welcome and assist students, families, visitors and external stakeholders.
  • Manage the school's reception, telephone enquiries and shared email inbox.
  • Provide administrative support across the school and maintain accurate student records and databases.
  • Schedule meetings and appointments for staff and the School Psychologist.
  • Prepare official school documentation, certificates and correspondence.
  • Translate school communications, newsletters and website content between English and Italian.
  • Support the organisation and administration of external language certification exams (Cambridge, Trinity, DELF, DELE and Goethe).
  • Monitor student attendance and communicate with families regarding absences and welfare matters.
  • Support school events, parent evenings and admissions activities during busy periods.
  • Liaise with external agencies and ensure compliance with required administrative procedures.
  • Coordinate transport-related administration with the Bus Coordinator.
  • Support Health & Safety procedures, visitor management and first aid administration.


About You

The successful candidate will have:

  • Excellent written and spoken English and Italian.
  • Previous experience in a front office, reception or administrative role.
  • Outstanding organisational and time management skills.
  • Strong interpersonal and customer service skills.
  • Excellent attention to detail and the ability to manage multiple priorities.
  • A proactive, flexible and collaborative approach.
  • High levels of professionalism, discretion and confidentiality.
  • Good IT skills, including Microsoft Office and database management.
  • Experience in an international or bilingual school environment would be considered an advantage.
